I usually find myself at-mentioning the same handful of people in Teams channels \u2013 the managers, project leads, or SME\u2019s. In a situation where I know everyone pretty well, that\u2019s OK. A little time consuming as I get the three or four names typed in. And it\u2019s not always obvious who the \u201cgo to\u201d people in a Team should be. I find myself reading through a bunch of old posts just to figure out who is a good contact for a question.<\/p>\n

Microsoft has introduced the idea of tagging individuals in Teams. These tags are defined within a Teams space \u2013 so the \u201cmanagers\u201d in Team XYZ aren\u2019t the same \u201cmanagers\u201d from Team ABC. Tags both provide a shortcut \u2013 instead of typing the three individual manager\u2019s names, I can at-mention managers<\/em> \u2013 and a way of identifying people\u2019s roles within the team \u2013 you can find the SMEs<\/em>, Team Leads<\/em>, or Tech Contacts<\/em> just by looking at those tags.<\/p>\n

How do you set up tags? You need to be a Team owner. Anyone can view<\/em> the tags you set up, but creating tags is something only Team owners can do. Click on the ellipses next to the Team name and select \u201cManage tags\u201d<\/p>\n

Select \u201cCreate tag\u201d<\/p>\n

<\/p>\n

Give a name to your tag & start adding members<\/p>\n

<\/p>\n

Tags aren\u2019t objects that can be deleted \u2013 simply by removing all members from a tag, it disappears. So you\u2019ll need to add someone<\/em> here, even if that\u2019s you. Click \u201cCreate\u201d to create the tag.<\/p>\n

You can also manage tags by managing the Team members \u2013 you\u2019ll see a column for the tags, and moving your mouse into the tags column for an individual will display a little tag icon you can use to add tags to the individual.<\/p>\n

If you enter a tag that does not exist, you can click the button to \u201cCreate \u2026\u201d the tag.<\/p>\n

For existing tags, you can click the box to select the appropriate tags and select \u201cApply\u201d<\/p>\n

<\/p>\n

Now any team member can view the Team membership and see who is a project lead and who is an SME<\/p>\n

<\/p>\n

Additionally, any Team member can at-mention these individuals by the tag. The display will indicate how many individuals are included in the tag \u2013 asking three people a question is probably reasonable, asking fifty may not be!<\/p>\n

The at-mention will resolve as the tag name<\/p>\n

<\/p>\n

Another cool feature — when I look at the members of a tag,\u00a0I can start a chat with those people.<\/p>\n
